Overview
Every client in SVP has a status that controls how they appear in your lists, which workflows they're included in, and how SVP treats them in reports. Understanding statuses helps you keep your client database clean and actionable.
The Three Statuses
Active
Active clients are your current customers β people or businesses you're actively providing services to. Active clients appear in all job scheduling, estimate creation, and reporting workflows by default. This is the default status for any new client you create.
Prospect
Prospects are potential clients who haven't converted yet. You might add a prospect after a quote request, a phone inquiry, or a trade show lead. Prospects show up in your client list but are visually distinguished from active clients. They can receive estimates, but they don't count against active client metrics in reports.
Inactive
Inactive clients are former customers you're no longer working with. Setting a client to Inactive removes them from active scheduling and job creation dropdowns, reducing clutter. Their historical data (jobs, invoices, notes) is fully preserved and accessible. You can reactivate an inactive client at any time.
Changing a Client's Status
- Open the client record by clicking the client's name in the client list.
- Click the Status dropdown (usually shown near the top of the client profile).
- Select the new status: Active, Prospect, or Inactive.
- SVP saves the change immediately β no separate save button needed.
Filtering by Status
In the Clients list view, use the Status filter at the top to show only Active, Prospect, or Inactive clients (or all at once). This is useful for:
- Running a prospect follow-up campaign
- Reviewing which clients haven't booked in a while (candidates for Inactive)
- Cleaning up your client database before a new season
How Status Affects Visibility
- Job creation β only Active and Prospect clients appear in the client dropdown when creating a new job. Inactive clients are excluded.
- Reports β most revenue and job reports filter to Active clients by default. You can include Inactive clients using report filters.
- Dashboard counts β the Active Clients stat card counts only Active-status clients.
